NWRPCA Event Exhibiting Opportunities

Conferences

Each of our three major conferences provides superb opportunities to connect your brand with staff and decision-makers of community health centers.

 

  • Western Forum for Migrant and Community Health (February) With a focus on total community wellness and well-being, this unique event gives particular attention to the most vulnerable populations and the role of the Community Health Worker. The audience is largely from migrant health centers. Much of the conference is offered in both Spanish and English. The location rotates among Seattle, Portland, and California. Attendance is usually 275-325.
  • Spring Primary Care Conference and Annual Membership Meeting (May) This conference usually draws community health center leaders predominantly from the Northwest, with a smaller percentage of attendees from around the country. Most of the top clinical and administrative leaders of our member health centers attend this meeting along with outreach and support staff. The conference rotates among Seattle, Portland and Anchorage. Attendance is usually about 300.
  • Fall Primary Care Conference (October) This is a large, bi-regional conference in conjunction with Community Health Association of Mountain/Plains States. Most of the top clinical and administrative leaders of our member health centers and those from Montana, Wyoming, Utah, Colorado and the Dakotas attend this meeting along with outreach and support staff. This conference also draws the Western Clinicians Network with strong attendance from California, Nevada, California, Hawaii and Arizona. The conference alternates between Seattle and Denver. Attendance is usually about 500.

Other Exhibitor Opportunities

Occasionally your target audience will gather for a short stand-alone training of one to three days. Such gatherings offer excellent exhibiting opportunities for only a few companies. Contact the Development and Communication Manager for details.

 


Conference Sponsorship Opportunities

NWRPCA produces three major conferences each year. Sponsorships at various levels are critical to making these meetings fiscally viable and also affordable to health centers. All sponsors are featured prominently in the conference program and through conference signage and are also acknowledged in the annual Report to Stakeholders.
  • Presenting Sponsorship: $10,000. For the sponsored conference, the Presenting Sponsor may send four representatives on a complimentary basis and provide a two-page ad for the printed program. The company may also display a banner in the main auditorium, provide a small imprinted item to each attendee, and choose to host either the Welcome Reception or the Keynote Plenary. The Presenting Sponsor may also purchase an exhibit table at a 15% discount and enjoy a prime location.
  • Champion Sponsorship: $5000. For the sponsored conference, the Presenting Sponsor may send two representatives on a complimentary basis and provide a full-page ad for the printed program. The company may also choose to host either Breaks with Exhibitors or a Roundtable Lunch. The Champion Sponsor may also purchase an exhibit table at a 10% discount and enjoy a desirable location.
  • Advocate Sponsorship: $2500. For the sponsored conference, the Advocate Sponsor may send one representative on a complimentary basis and provide a half-page ad for the printed program. The company may also choose to host either Breaks with Exhibitors or a Roundtable Lunch. The Advocate Sponsor may also purchase an exhibit table at a 5% discount.
  • Supporter Sponsorship: $1000. The Supporter Sponsor may place a quarter-page ad in the program of this particular conference and will be acknowledged from the stage at all plenary sessions.
  • Other Conference Sponsorships: $500 - $5000. Each conference provides unique opportunities to sponsor attendee bags, key cards for the hotel rooms, a visit to a local health center, or even a particular educational session or entire educational track.

Sponsor, Exhibitor and Advertiser FAQs

 

Q. How many days may we exhibit, and which are the official days?

A. It is a four-day conference. All four days are “official,” and all four have breaks with exhibitors built in. Still, you may opt to exhibit for any number of the four days. You may set up on any evening from 5-7 and leave on the day of your choosing. HOWEVER, you must commit to your set-up time by October 1.

 

Q. Do we pay more or less for a table based on the number of days exhibiting?

A. No. Table prices are as stated in the prospectus. It is strictly your choice for how many days you wish to use the table.

 

Q. May I participate in the Lunch with Exhibitors even if I don’t purchase an exhibit table?

 A. Only if you are a sponsor for the conference.

 

Q. You ask us for a phone number and email address to put in the conference program with our promo. Whose should we use?

A. That’s entirely up to your company. Whom do you want people to call after the conference is over?

 

Q. Do sponsors ever get a complimentary ad in the program?

A. All sponsorships include a free ad. See sizes in the prospectus.

 

Q. What are your ad specifications?

A. Color Mode CYMK; Resolution 300 dpi or higher; File format JPG or EPS preferred, may be PDF; Bleeds on full-page ads only. Sizes and orientation of ads: ¼ page: 4” wide by 5” high; ½ page: 8” wide by 5” high; Full page: 8.5” wide by 11” high.
